What we collect
About you and your team: names, email addresses, a password (stored scrambled, so nobody can read it), and your business name, address and logo.
About your customers, entered by you: names, phone numbers, emails, addresses, notes, photos, files, quotes, and signatures typed when a customer approves a quote (with the time and the device's IP address, as a record of the signature).
When someone opens a quote link, we record that it was viewed and when.
How we use it
Only to run Guildmark for your business: showing your information to you and your team, emailing quotes and account messages (like "confirm your email" or "set a new password"), and keeping the service secure.
We don't sell your information or your customers' information, and we don't use it for advertising.
Who can see it
Your information is kept separate from every other business on Guildmark. Inside your business, what each person sees depends on what you let them do (Owner, Office or Crew).
Your customer sees only their own quote, through the private link you send them.
We use a small number of service providers to run Guildmark: hosting, email delivery and, once payments are turned on, Stripe for card payments. They only get what they need to do that job.
Cookies
We use a cookie to keep you logged in, and a security cookie that protects forms. No advertising or tracking cookies.
How long we keep it
For as long as your business uses Guildmark. Deleted notes and files are hidden but kept, so mistakes can be undone; ask us and we'll remove them for good. If you close your account, we delete your business's information, except records we must keep by law, such as payment records.
Your choices
You can see, change or remove your information in the app. Your customers can ask you, or us, to see or delete what's stored about them, and we'll help you do that.
Changes
If we change how we use information, we'll update this page and tell you in the app or by email first.
